Word to PDF: sending documents that look right everywhere

A Word document can look different on someone else's computer. Missing fonts, another version of Word or a phone viewer can move line breaks, shift images and push headings onto the next page.

A PDF fixes the layout in place. What you see before you send it is what everyone else sees, on any device.

That matters most for CVs, cover letters, invoices, reports and anything that will be printed or judged on presentation.

Before converting, check the document in Word's Print Layout view. Comments and tracked changes can appear in the PDF if they are still showing.

Accept or reject tracked changes and delete comments first. Leftover comments are one of the most common ways private notes end up in a sent document.

Use Word's real heading styles, Heading 1 and Heading 2, rather than bold text. They help screen readers and often become bookmarks in the PDF.

Large images make large PDFs. If your Word file has many photos, the PDF may need Compress PDF afterwards.

Word can also save as PDF itself through File, Save As. An online tool helps when you are on a phone, a shared computer or a device without Word.

Keep the .docx file. If you need to change something later, edit the Word version and convert again, which is far easier than editing a PDF.

Name the PDF with your name and the document type, such as Jane-Smith-CV.pdf, so it stands out in a recruiter's downloads folder.

When to use Word to PDF

Use Word to PDF before you send a CV, report or letter. A PDF looks the same on every screen and printer, and nobody can change it by accident.

Word to PDF: common questions

Will my fonts and layout stay the same?

Standard fonts such as Arial, Calibri and Times New Roman convert cleanly. Unusual fonts may be swapped for a similar one, so check the PDF before you send it.

Do links in my Word document still work?

Yes. Hyperlinks normally stay clickable in the PDF.

Should I send my CV as Word or PDF?

PDF, unless the employer asks for Word. It keeps your layout exactly as you designed it.
