Spreadsheets as PDFs: making them readable

Sending a spreadsheet as a PDF shows people the numbers without letting them change formulas or open hidden sheets. It is the usual way to send invoices, quotes, timesheets, budgets and reports.

Layout is the most common problem. Spreadsheets have no natural page size, so a wide sheet can be cut across several pages, with some columns on one page and the rest on the next.

Set things up in Excel first. In Page Layout, choose landscape for wide tables, set a print area covering only the cells you want, and use the scaling option to fit all columns on one page.

For long tables, repeat the header row on every page. In Excel this is Print Titles under Page Layout, and it makes multi-page PDFs much easier to read.

Hide or delete working columns, notes and helper sheets the reader doesn't need. Anything visible in the print area can appear in the PDF.

Check number formats. Currency signs, decimal places and dates should look right before converting, because you can't fix them in the PDF.

Charts come across as pictures of the chart, so they keep their look but can't be edited.

Print Preview in Excel gives a good idea of how the pages will be split before you convert.

Keep the original spreadsheet. If a number changes, update the Excel file and convert again.

If the person receiving the file needs to work with the numbers, send the spreadsheet as well as the PDF.

When to use Excel to PDF

Use Excel to PDF to send invoices, timesheets, budgets or reports that people should read, not edit.

Excel to PDF: common questions

Why is my spreadsheet split across several pages?

Wide sheets don't fit on one page. In Excel, set the print area and choose "Fit all columns on one page" in Page Layout, save, then convert.

Are all worksheets converted?

Check the result. If you only need one sheet, delete or hide the others before converting.

Will formulas still work in the PDF?

No. A PDF shows the calculated values only. Keep the Excel file if you need to edit the numbers.
